Industries — Property & Real Estate
The lead did not disappear.
The follow-up did.
This is built for property managers, brokerages, developers and multi-office operators — teams where more than one person touches a lead. If you're an individual agent working solo, most of this will be more system than you need.
What usually breaks
Four patterns I keep seeing
A lead fills a form at 9pm. Nobody follows up until it's cold.
By the time someone replies, the enquiry has already been replaced by three newer ones in whoever's inbox it landed in.
Enquiries land in one shared inbox with no owner.
No priority, no record of what was already said, and no way to tell if a lead has already been contacted twice or not at all.
Every project or listing has an outdated PDF instead of a page built to convert.
A static brochure gets forwarded around while the actual availability and pricing have already changed.
Maintenance requests and leasing enquiries compete for the same inbox.
Two completely different priorities, handled with the same un-prioritised process.
What I focus on
Eight areas, worked together
Lead capture
Forms and pages that collect what's actually needed to qualify, not just a name and number.
Qualification
Filtering enquiries by fit before anyone spends time calling back.
Routing
Every lead assigned to a specific person or office, automatically.
Project landing pages
Live pages per project or listing, replacing the outdated PDF.
Google Search
Visibility for the specific project and location searches buyers actually run.
Email & WhatsApp follow-up
A sequence that responds within minutes, not whenever someone next checks the inbox.
Property/listing CMS
One place to update availability and pricing, instead of five documents to keep in sync.
Maintenance workflows
A separate, trackable path for maintenance requests so they stop competing with leasing enquiries.
Related work
The same principle, applied elsewhere
I don't have a property case study to publish yet. The closest example of the same lead-routing thinking, applied in B2B SaaS, is More leads were not the answer — the industry differs, the underlying system doesn't.

Questions
Common questions from property teams
Do you work with individual agents?
Not usually. This system assumes more than one person is handling leads — a property manager, a brokerage team, or a developer's sales office. A solo agent generally doesn't need this much system.
Can this connect to our existing CRM?
Often, yes, depending on the platform. Where it can't connect directly, routing and reporting are built to work alongside what you already use rather than forcing a full replacement.
Does the price include paid ad spend?
No. The $4,500 covers the build — landing page, qualification, routing, follow-up and reporting. Any media budget for ads sits separately with you.

Which inbox they land in, who follows up, and how long it usually takes — that's enough to start with.
